30-Day Deadline for the Report of Change of a Company-Affiliated Research Institute — How to Report Researcher Hiring and Departure, Relocation and Trade Name Change

From February 1, 2026, company-affiliated research institutes and dedicated R&D departments are governed by the Act on Support for Research and Development of Company-Affiliated Research Institutes, Etc. When matters concerning the company and the research institute change, such as the name, location, research field or researchers, a report of change must be filed with the Korea Industrial Technology Association (KOITA) within 30 days from the date the cause arose. Failure to report for more than 1 year is a ground for revocation of recognition.

Procedure

  1. 1. Identify what has changed

List what has changed, such as the company's name, representative and location, the research institute's name, location and research field, the dedicated research personnel and research assistants, and the research equipment. Changes outside the research institute, such as a change of the company's trade name or relocation of its head office, may also be subject to reporting.

  2. 2. Recheck the recognition criteria

If a researcher has left or the size of the company has grown, check whether the number of personnel required by the recognition criteria is still met. Also check whether the venture company confirmation period has ended, so that the relaxed personnel standard no longer applies.

  3. 3. Check the research space requirements

When moving the research institute, check that the new place is not a detached house, multi-unit housing or a building without a permit. Provide an independent research space, a signboard and an entrance, and prepare drawings and photos.

  4. 4. File the report of change within 30 days

Attach documents proving the changes to the report of change form and submit it through the online system of the Korea Industrial Technology Association. If an item stated on the certificate of recognition changes, such as the name or location, the certificate of recognition is issued again.

  5. 5. Respond to requests for supplementation

If the recognition criteria are not met, a supplementation order is issued setting a period of 1 month or more. If you do not comply within that period, the recognition may be revoked.

Frequently asked questions

What is the deadline for the report of change of a company-affiliated research institute?
Within 30 days from the date the cause for the change arose. Failure to report for more than 1 year is a ground for revocation of recognition, so report right away even if it is late.
Must a report of change be filed even when just one researcher leaves?
Yes. A change in researchers is subject to reporting, and if the remaining personnel fall short of the recognition criteria, hire a new researcher and report both together.
What do we do when moving the research institute to another building?
File a report of change of location within 30 days and submit drawings and photos of the new research space. A research institute cannot be located in a detached house or multi-unit housing, and an on-site check may be carried out again after a relocation.
What problems arise if we do not file a report of change?
The recognition may be revoked. If the recognition is revoked, you may be disadvantaged in support programs, corporate certifications and tax treatment that presuppose recognition of the research institute.
Must a dedicated R&D department also file a report of change?
Yes. The duty to file a report of change applies equally to company-affiliated research institutes and dedicated R&D departments, and the deadline is the same 30 days.
Does an administrative agent file the research institute's report of change on our behalf?
Yes. Hwang Yunsang Administrative Office checks the changes and the recognition criteria, organizes the report of change form and supporting evidence, organizes drawings and photos for a relocation, submits online on your behalf and responds to requests for supplementation.
