Procedure

1. Review the record and identify what to correct — First obtain a copy of the school life record and mark which wording in which section (personal and enrollment details, attendance, subject learning development, or behavioral characteristics and overall comments) is inaccurate. You can request access from the school under Article 35 of the Personal Information Protection Act, and the school must allow access within 10 days of receiving the request.
- 02
2. Gather objective supporting evidence — Article 19 of the Guidelines allows corrections after closing only where objective supporting evidence exists, so collect dated materials such as medical certificates, absence notices or official letters for attendance, certificates or participation records for awards and activities, and counseling records, text messages or emails for written descriptions. Items backed only by a claim without evidence are hard to have accepted as grounds for correction.
- 03
3. Draft the correction request — In the request, set out in a table the student's details, the school year and section, the current wording and the requested wording, the reason it is inaccurate, and the attached evidence numbers. Write around dates and documents rather than emotional language, and state that this is a correction request under Article 36 of the Personal Information Protection Act and that written notice of the result is requested.
- 04
4. Submit to the school and committee review — Submit the request and evidence addressed to the principal and keep a record of receipt. The school's Academic Performance Management Committee reviews the objectivity of the evidence, the reason, and the content of the correction, and then, following the approval process of the correction register, the homeroom teacher of the year in which the error was found makes the correction for current students, and the staff member in charge does so for graduates. Corrections to student information in personal and enrollment details may skip committee review.
- 05
5. Check the result and follow up — When you receive notice of the result, obtain a new copy of the school life record and confirm that the wording was changed as requested. If the correction is not accepted, review the reasons in the notice to see whether additional evidence can be supplemented and request again, or use the objection procedure the school provides under Article 38(5) of the Personal Information Protection Act.

The content and reason of each correction are recorded in the correction register and kept permanently with the evidence, and the register may be provided to a higher-level school or supervisory authority on request, so request corrections only for items with solid evidence. Where access would seriously interfere with grade evaluation or admissions work, the school may restrict access under Article 35(4) of the Personal Information Protection Act.
